How to zip and password-protect a file

This page tells how to zip and password protect a file (or several files) so that you can send them to Hostlist Coordinator or other countries. "Zipping" a file makes it smaller and quicker to send. Password-protecting zipped files adds security and makes it easy for SI to process the file.
To zip a file, you need one of the many zipping programs available. Some are free; others are not. You can use a search engine like Google to look for "freeware zip programs."
The following instructions are for using WinZip 9.0. You can download a free evaluation copy of WinZip 9.0, but if you use if for longer than the trial period, you must pay for it.
To download and install WinZip 9.0
- Go to the <a href="http://www.winzip.com/">WinZip Web site</a>.
- To download an evaluation copy, click Download and follow the prompts. Save the file to the Windows desktop.
- Double-click the winzip90.exe file that you downloaded. If you see a Windows XP Security Warning, click Run.
- Click Setup, and follow the prompts.
To zip a file or multiple files
- Go to where you have put the file or files.
- Select the file or files.
- Right-click the file or group of files and click WinZip > Add to Zip file. If you are using the evaluation version, click Use Evaluation Version when WinZip opens.
- In the Add to archive section of the Add dialog box, click New.
- Select a place where you want to save the zip file, such as the Windows desktop. Enter a name for the zip file. (If you were instructed to use a specific file name, enter that now.)
- Click OK.
- Click Add.
- Click Encrypt, and then click OK.
- In the Encrypt dialog box, decide one password and enter it in both boxes:

Leave the Encryption method set to Zip 2.0 compatible.
- To send the zipped file to Hostlist coordinator, send it with one email, and send the password you chosen in a different email.
