The main purpose of this telcon is to get to know these initial participants, and to set up a Host List Working Group. It will be based on experience of Agenda Working Group. HLG had already done a very good work in last months, but we need to have a more representation from delegates of member Countries.

Current Urgent Concerns
• at least 26 countries which are members and whom I do not have a printed or an electronic host list version. (You can see it with a question mark on the doc documentI
• countries to be proposed to "lose" Servas International membership and countries which might be proposed. This was just a draft waiting for your feedback again.
Our telcon would discuss:
• Defining how Host List Working Group can be organized,
• who is going to lead or facilitate it,
• how can spread the voice and ask for new participants, and
• which documents or activities must be prepared in advance before Latina.
• making work more authoritative.
As well, and independently of organizing some training at EGA, training should/could be planned having the whole Organization as target.
We could start, for instance, writing down
- what the HLSA is
- how to access the HLSA
- how to download and upload documents
a list of benefits using the HLSA can bring to national groups.
This could be a 1 page document, easily e-mailable to all national groups. (Roberto)

Also, producing a clear stated recommendation document for dealing with hostlist preparation, printing, sending, exchanging and internet usage. rami rafaeli Claudio, Mike, Amir
results means a clear set of "rules" or recommendation on - how to deal with hostlist production (dependently or independently from Whale/Dolphin)
- how to deal with HLRF process,
- how to deal with various parts of the website for reaching pdf versions etc This "hostlist handbook" can be a quite valuable result from HLG and can keep in consideration the input come from the survey. Technical advice for users on how to: (Claudio)
• send host lists by email (with proper security password)
• send email to multiple recipients (using bcc:)
• use keylist and the role of local keylist editors Training Workshop (pilot at eGA)
• re: workshop about downloading host lists from the Host list Storage Area.
"a basic training program informing the advantages of using ...the HLSA would be beneficial to many national groups" many countries do not know how to make the best use of the tools Servas has. Many countries have not been using the HLSA as they could. And it is so easy to make a good use it. It could be one evening, not taking time from the EGA itself.
who do you think is best qualified to train folks? someone like Amir who is quite talented in giving workshops?
Background on Current Activities:
• wait until the end of the year so to respect the deadline of HLG group, and then to send the HLRF to each country around the 2nd, 3rd of new year.
• Laura: a personalized HLRF form to each country with their country name clearly in the subject and with proper translation. Obviously you can help with spanish countries.
• preliminary draft of hlrf 2006 (word document in PLAIN text) and an excel sheet with data taken from current keylist. This is yet incomplete, but might be a first step. Claudio: I also included Amir in cc
• re; SurveyRoberto, I was delighted that we heard from 31 countries. For something much more important - registering for the EGA - many countries had trouble replying. So 31 seemed okay to me.
F somehow they didn't get the survey, it would be smart to send it to them. -- I will try that. NOTE: If YOU contact countries, please note that Japan DID reply.
