Hostlist Newsletter - October 2005

Dear National Secretaries and other Keylist references, as usual we are sending you this annual survey you are invited to read AND to provide by email your answer to keylist@servas.org before the end of November.
As you see some of suggested activities require you to use more from internet. If you have problems in using internet more than just doing plain emails, please contact your Area Coordinator if active or keylist@servas.org for any needed help and suggestions. They can help you with this task using your inputs and feedback. Try to place international phone calls free of charge or with very limited fee using www.skype.com.
You are requested to:
1) CHECK CURRENT KEYLIST send CORRECTIONS Check data of your country on the keylist and answer back with any changes there had been in names, addresses, phones, roles during last months, please reply even to state data are ok. (You can check the keylist going to http://www.servas.org/kl_main.php or have a complete keylist printout clicking https://www.servas.org/kl_keylist.php?x=1, if you have any problems in accessing these pages please check with ict. You can also ask to be local keylist editor and so might be able to make corrections yourselves. Note that everybody listed in the keylist can directly edit their profile data when addresses or other information are changing.
2) HOSTLIST DECLARATION: If you are a member or you managed to produce a proper host list reply to these questions. If not, you can still decide to produce an even small one-page contact-list for your country and if you have more than 10 real members for more than one year you might apply for full membership in next eGA in Latina, Italy.
a) Check on http://www.servas.org/siexco/index.php?title=Host_Lists_received that your last year list had been properly accounted by Hostlist coordinator and be made available to other countries, please send any correction or precisation b) Declare the address where you want hostlists from other countries be sent, and declare your intentions to compose your host list and send it by mail or having it available in electronical form. You should clearly specify when you are going to produce your list. c) We ask you to check routinely the quality of your list to be sure that data are correct and updated. It is normal that people change phone numbers or addresses or they might decide to quit servas. Please help travellers to have a valid tool. It is enough to contact yearly all members to be sure they are accessible and ask them to provide modifications. The SI Hostlist Coordinator and/or other groups might do some random checking of host lists by calling or writing to hosts listed.
3) HOSTLISTGROUP SURVEY: Here attached you will find also a Survey from the Hostlist group, which is trying to find new ways to improve the way hostlists are produced and distributed. Please have some minutes to read it and to return your feedback to hostlistgroup@servas.org.
4) SPECIAL HELP: If you needed any special help for producing your hostlist, especially if from a financial point of view please send a special request to exco@servas.org, and your requests will be evaluated. During last year requests for help have been fulfilled using the "Buddy Projects" or enhancing the usage of electronical means (protected areas on the website). We apologize for not having been able to help better last year.
We please ask you to send this information back via email within December, 1 2005, so that the official Hostlist request form from other countries can be set up. In December we will send another newsletter informing how to proceed with the HLRF 2006 itself.
ICT caretakers have developed a program that can be of great help in keeping track of the declarations from the countries and following the HLRF process. (Cfr. my previous newsletter). You are not obliged to use this program, but if you are interested in using it you can ask for more information to keylist@servas.org.
I also exploit this letter to thanks the work of Uwe Federer, who is working as ICT caretaker with me since last year (and who helped a lot with previous HLRF process), to Laura Ragucci who is helping with keylist handling, and Jorge from the Hostlist Group who is helping in being in touch with all the Member Countries.
Lastly I wanted to thank all of you for making us able to build good and reliable hostlists and making them available to travellers. Remember that Servas basements are really in the hostlists. These needs work, care and time to be sure will be used easily and effectively...
