Dear all friends in Servas, with this intermediate email I'd like to give you some information and news about work I'm doing so far in exco, and some project under development.

Hostlist request form

I'm glad to inform you that more than 50 countries were covered by the Host List Request Form campaign started in October and I produced some documents on https://www.servas.org/index.php?id=InfoCenter:Resources]] , look for

  • HLRF 2005 Final Requests 2005 7 Feb 2005 (xls, 51k)
  • HLRF 2005 Addendum to Final Requests 2005 16 Mar 2005 (xls, 49k)
  • host_list_request_form_2005 _russia_final.doc

Some countries didn't send their HLRF, while others arrived a bit late.

Please Note the following:

1) keep note of the error in Australian address (thanks to Rita Dessauvage for notifying us of this),

2) and please consider that there is a new addition of HLRF from Russia .

3) Check regularly siexco site www.siexco.org]] at hostlist coordinator materials.

I want to thank also the keylist group (see below) for their heavy support in this campaign. They are currently fully authorized by current exco and are substantial part of the keylist, so they are fully qualified to access it and contact NS's whenever needed.

Physical and Electronic hostlists received.

On Siexco you will see effective Hostlist received in 2005 in my postal mail box ( http://www.servas.org/siexco/index.php?title=Host_Lists_received ). Currently they are 22. I'm looking to seeing all the other printed host lists there soon. Many are still missing!!!
At the same time, some countries or small ones decided to provide only Electronic versions of their hostlist. Please refer to https://www.servas.org/hu_main.php for a detailed listing of those. Currently from the beginning of the year we have listed about 24 electronic lists. Please have a look. Again every country is invited to provide an electronic version of their hostlist in pdf or rtf format so to help in distribution.

Keylist handling and Activation Procedures

As you know since the end of August 2004, keylist coordination had been given to me. Since the job of keeping keylist uptodate and reliable is quite huge I settled up a "keylist group" composed by Laura Ragucci, Uwe Federer, Omer Ozkan, with the support also from Roberto Borenstein and Harald Seiffert. The project is to furtherly decentrate the keylist editing to Area Coordinators AND National Secretaries or other National Keypersons so that modifications will be made whenever they are needed without bottlenecks. Whenever you find something wrong in the keylist you are invited to write to keylist@servas.org]] and to say what should be done. Also the activation procedure is quite complex and we are trying to simplify it so that users can get their login to access www.servas.org]] in an easy yet secured and safe way. You can see some details on this proposal on the following address: http://www.servas.org/siexco/index.php?title=Key_List_Policies]]

Website, siexco, and forum initiatives

After the ict resignment in September/October 2004, many ict tasks are being caretaked by me and Uwe Federer per decision of the new exco, being myself and Uwe knowledgeable of the technical problems related. We tried to do our best, but even if our technical competence would be ok, as you might understand this task can be quite demanding to be done together with other exco tasks and we really need some other competent people to fit in the structure. Meanwhile, in last months, I tried to extend the communicatios from servas international with free public access extensions to the site, namely siexco ( www.siexco.org ) and servasforum ( www.servasforum.org ). These experiments are valuable, but still need a bit of coordination and integration.

Communication Project.

In January I was asked by many sources to help (technically) in enhancing the quality of communication in Servas. While Website, siexco, and forum can help in this direction, we need however to establish a full communication strategy which is founded on decentration and flexibility. This led to the idea of a group of "editors" who can help in organizing properly and neutrally the information on the various electronical and physical media (website, forum, newsletters, emails), so to leverage the level of discussion and information, and avoid either a too centralized control or a total mess of conflictual and incomprensible messages flowing around. We are trying to organize a conference call with interested people soon and to make this project take off.

Development of Countries Hostlist

Pitifully due to current difficult situation in Servas International, I couldn't manage properly to help countries on this subject, at least from funding and active physical helping. Some develops have been done using email and electronic lists, but I'm sure that whenever a full functional SI structure (with DFC, AuC ..) will be set we can use money and energy to fullfill this.

Lastly I want to thank all of you in Servas for your hard work, cooperation and patience. All of Hostlistcoordinator tasks depend primarily on each individual contribution,
Please note that this document is also accepted by current Exco and signed by Geoff Maltby.
